Priority Management
Whenever you try to do too many tasks in just one 24 hours day you always feel the pressure of time. Therefore, the essence of time management is priority management. You cannot control time, you can only control your priorities.
Do Important Things First
Important but Not Urgent: To be done first.
Urgent and Important: To be done second.
Urgent but Not Important: To be done rarely.
Not Urgent and Not Important: To be not done at all.
Delegation
Three categories of tasks : 1. Very important, 2. Important, 3. Ordinary.
Delegation is not a loss of power. On the contrary, it means you are concentrating only on very important things that really matter while giving responsibility to your juniors of less important tasks. What nobody can do, you do that. Delegate the rest 2 & 3 to your juniors. This is the way for you to get the most from life. Give clear instructions first. Then follow-up periodically whether the job is being done correctly or not. Stretch the capacities of your second-line subordinates. Empower them with more responsibilities by trusting them and allowing them to make small acceptable mistakes.
Stop Procrastination, Do It Now
It is always more easy to do something now than later because all problems are "wedge shaped" They increase in geometric progression with time.
Taking Out 26 Hours In 24 Hours
From your day's work take out all dissatisfying and non-productive 15 minute slots. They may even add up to 2 hours more per day. Utilize these saved hours in more productive work to get 26 hours in 24 hours!
Perfection
Perfection as a goal is desirable but not achievable. Excellence is a goal which is desirable and achievable, but only sometimes. A perfectionist attitude causes too much stress and a Burnt - out Syndrome very soon. Too much time is wasted to get that perfection finish that leaves other important tasks poorly done. Therefore, chose to go for selective excellence and not perfectionism.
80 - 20 Rule
80% problems are caused by 20% tasks. 80% workers give 20% output. 80% tasks give 20% satisfaction. 80% of stress is caused by 20% expectations. Therefore, bring down your expectations to 80% from 100%. Consequently, you save yourself a lot of unnecessary and unhealthy stress and time wastage. This further saves a lot of energy that was just being wasted in unnecessary inner conflicts. Energy saved is energy made. This extra energy then helps you to do your daily tasks much more efficiently.
T.R.A.C.K. Your Paper Work
There are 5 different ways to reduce your paper load :
T- Throw away 90% of your mail, magazines and memos immediately after reading them for the first time. They are insignificant for further reading anyway.
R- Refer the right one to the right concerned person. Earmark her name on that paper immediately and pass it on at your earliest.
A- Act immediately on that paper's contents. Then toss it away.
C- Call for more information regarding that important topic. Till that time keep that paper in the Hold file.
K- Keep that paper in your Resource file for future reference.
